Wedding Place Setting Etiquette & Expert Advice

When it comes to wedding tables, it’s not just about style - there’s also an element of etiquette and practicality to consider. From how to arrange place cards to choosing the right details for your meal service, your wedding place settings set the tone for the entire reception.

To help you get it just right, we asked Georgi from Scarlett Rose Events and Kate from Amelia Events to share their expert tips. Here’s their advice on what to include, how to style your tables and the thoughtful touches that make every guest feel welcome.

Beyond style, there’s a practical side to table design - from setting up place cards to creating place settings with meal choices. Here, Georgi from Scarlett Rose Events and Kate from Amelia Events share their expert tips and etiquette advice to help you get every detail just right.

What are wedding place settings?

Kate: “A place setting is everything arranged at each guest’s seat - plates, glasses, cutlery and, of course, the little extra details that make it feel more thoughtful and personal.”

Georgi: “A wedding place setting isn’t just about the practical elements - it’s about creating a welcoming space for each guest. The details you choose bring personality to the table design and set the tone for the celebration.”

Wedding place settings include:

  • Plates (charger, dinner, side plate)
  • Cutlery (in the order of use)
  • Glassware (water, wine, champagne)
  • Napkin, menu, and place card

How do you set a wedding table place setting?

Kate: “I like to think of it as layering. Start with your base plate or charger plate, then add cutlery in the correct order, glassware and finally the finishing touches such as napkins, menus, place cards or favours. That last layer is what transforms a simple table into something special!”

Georgi: “At its simplest, a place setting is cutlery, glassware and a napkin. From there, you can elevate the look with thoughtful details - a menu card, a beautifully tied ribbon, or a hint of colour in the glassware. It doesn’t take much to make it feel elegant - it’s about being intentional rather than adding lots of extra pieces.”

What should be included in a wedding place setting?

Kate: “The essentials are a plate, cutlery, napkin and glasses. From there, you can add charger plates, bread plates, favours, menus or name cards depending on the style of your meal and your chosen look.”

How do you make wedding place settings look elegant on a budget?

Kate: “Even simple hire items look chic when styled well. I recommend bringing in a bit of colour - coloured napkins, menus or even just a name card with a colourful ribbon. The smallest details often make the biggest impact.”

What are some unique wedding place setting ideas?

Kate: “I love when couples add personality through handwritten letters for each guest, photo printouts of the bride or groom with the guest, or place names that double as favours - like bottle openers, bookmarks or golf balls with their name on. These thoughtful touches make guests feel really special and add a personal, memorable element to the table styling.”

Georgi: “Some of the more unique ideas I’m seeing right now include textured charger plates for depth, patterned or personalised napkins, and natural touches like seasonal fruit or foliage. I always recommend including place tags or personalised menus with guest names - it avoids the chaos of unallocated seating, helps with dietary requirements, and gives guests reassurance about where to sit.”

Do you need name cards for wedding place settings?

Kate: “Not always, but they can make a big difference! They help everything run smoothly while adding a lovely personal touch. Guests enjoy finding their names waiting for them, it makes them feel welcome. Plus, they are a huge help for caterers, making it easy to keep track of dietary requirements and food allergies.”

How do you set up place cards for a wedding?

Kate: “Place them above the plate, tuck them into a napkin fold or use a little holder that ties in with your theme. It’s another chance to add colour and personality to the table.”

What colours and themes work best for wedding table settings?

Kate: “I always encourage couples to choose whatever colour theme they like best, as everyone’s taste is different! At the moment, black and white, pastel colour palettes and neutrals are especially popular.”

Georgi: “Start with the overall wedding palette and layer tones and textures that complement it. A neutral base (white, ivory, taupe) is timeless, while accents of colour in linens or stationery can completely transform the look. Hiring tableware is also a brilliant way to achieve a polished, cohesive finish.”

Can you rent wedding place settings?

Kate: “Absolutely! Most décor hire companies, including us, offer a wide range of charger plates, glassware, bespoke stationery and accessories to suit different styles. Hiring gives you the freedom to achieve a luxurious look without having to buy everything yourself.”

How do I create place settings for a buffet wedding?

Kate: “Keep it simple with a plate, cutlery, napkin and glass, but feel free to add charm with a charger plate, name card or personalised detail so the tables still feel special. Many couples hire a double-sided menu board so guests know what to expect before going up.”

Georgi: “For buffet weddings, I suggest keeping plates at the buffet station, but setting cutlery, glassware and napkins at the tables. That way nothing gets forgotten and guests always return to a table that feels properly laid for them.”

Once you’ve decided how to dress your tables, why not think about naming them? Take a look at these unique and fun table name ideas.
